Purchase bills, logged from the phone, for a business running since 1949.

M/s Hari Narayan Khandelwal & Co. has been in construction materials since 1949. mkdir built the app its site managers now use to photograph and log purchase bills, and the dashboard where the owner sees the totals.

Site managers handle the bills. The owner needs the totals.

A purchase bill is handled by a site manager. The numbers that come out of it, what was spent this month, with which vendor, on which day, are needed by the owner.

The job was to put those bills on the phone, so that a site manager logs each bill by photographing it, and the month-end, per-vendor and daily totals arrive automatically.

> 02 / what we built

A bookkeeping app that lives on the phone.

  • Google sign-in, with an approval gate: the owner lets each person in
  • Bill entry with multiple line items, and up to 12 photos or PDFs per bill, compressed in the browser
  • Vendor autocomplete from a 350-vendor master list with tax IDs
  • Tax maths done for you
  • Works offline: entries queue on the phone and sync when the connection returns
  • Installable on a phone like an app
  • Optional photo-to-form auto-fill using AI
  • Each manager only sees their own data
> 03 / day to day

Photograph it, and the rest follows.

  1. Site manager's phone

    photographed and logged

  2. Offline queue

    waits for a connection

  3. Owner dashboard

    totals, already added up

  1. 01

    Photograph the bill

A site manager opens the app on their phone and photographs the purchase bill. One entry takes up to 12 photos or PDFs, compressed in the browser.

  2. 02

    Log the entry

The vendor comes from autocomplete over the master list. Line items go in one at a time and the tax maths is done for them. The optional AI step can fill the form from the photo.

  3. 03

    It queues offline

With no connection, the entry queues on the phone. It syncs when the connection returns.

  4. 04

    The owner sees the totals

Spend for this month and last month, a 12-month chart, and the top sites and vendors are on the owner's dashboard. Each morning at 9 AM, an email lists yesterday's entries.

> 04 / what the owner gets

The totals, without the adding up.

  • A dashboard: this month and last month spend, a 12-month chart, top sites and vendors
  • Month-end, per-vendor and daily totals, worked out automatically
  • A per-vendor report
  • A daily 9 AM email of yesterday's entries
  • Spreadsheet export
  • User management, including who is approved to sign in

And what each manager sees. Only their own entries. The full picture belongs to the owner.
